Protected EDC discussions are not recorded by default. EDC may allow photography, video, audio or testimonials only through clearly designated media activity and applicable written permission.

1. Protected discussion

  • No recording, photography, screenshots, transcription or other capture of a protected discussion unless EDC expressly designates the activity in advance.
  • A networking or media window does not change the confidentiality/attribution rules governing the working session.
  • Participants may not record one another independently merely because EDC has authorized its own photographer for a designated period.

2. Consent

Identifiable commercial or promotional use of a participant's name, portrait, picture, likeness or voice requires the permission applicable to that use.

3. Media participation is optional

Media participation is not a condition of participating in a protected EDC discussion unless the event has been expressly identified in advance as a media/public event. EDC should provide a practical way for a participant to avoid designated media capture where feasible.

4. Separate permissions

EDC treats (a) image/voice use, (b) name/title/company identification, and (c) testimonial/quotation use as distinct permissions. Consent to one does not automatically grant the others.

5. Event operations

  • Media zones or windows should be identified in advance or at check-in.
  • Photographers and staff should be instructed not to capture confidential screens, notes, badges or protected content unnecessarily.
  • A participant's media permission status should be recorded in EDC's admin system and communicated to event staff.

6. Withdrawal

A participant may request that EDC stop new uses of approved media. EDC will apply withdrawal prospectively where reasonably practicable. A withdrawal does not necessarily require recall of materials already lawfully published, distributed, licensed or archived under an existing release.
